In the exam rules, you can, among other things, find out how many exam attempts you have, how to apply for a exemption or how to apply for special conditions for your exam, if you need it. You can also learn more about how to submit your written exam and much more.

Purpose of the exam rules
These exam rules contain the general guidelines for the conduct of exams concerning full-time programmes at KEA.
The purpose of these exam rules is to ensure that you as a student are well informed about the applicable rules and regulations concerning exams. In each programme curriculum, you’ll find more information about the time of the exams in the course of a programme, test forms etc.
The purpose of the exam is to demonstrate the degree to which you as a student meet the academic objectives set for the programme in its curriculum.

Legal basis
These exam rules have been drawn up in accordance with the applicable Ministerial Orders on examinations in higher education programmes under the Danish Ministry of Higher Education and Science.
The following Ministerial Orders apply to exams and appear from the programme curriculums:

Person responsible for exams
The head of programme is responsible for exams. For some exams, however, the head of programme may appoint one or several persons responsible for exams who will deal with any questions in relation to exams.
Secrecy
The employees at KEA are covered by the Danish Public Administration Act's rules on professional secrecy, and may therefore only use exam assignments and projects in connection with the evaluation of students. The same goes for censors. Teachers and censors are also not allowed to pass on information that they have received from students during an exam.

Secrecy for employees at KEA
KEA’s employees are subject to the obligation to maintain secrecy as laid down in Chapter 8 of the Danish Public Administration Act (cf. in particular Section 27(1) items 1 and 2 thereof).
Being subject to maintain secrecy means that you cannot pass on any information about any individual’s personal affairs, including financial standing, or any information of major financial bearing on the person or company in question.
This implies that any project or internship report, etc, prepared by a student may only be used by KEA’s employees in connection with the guidance or evaluation of that student and the consequent administrative procedures.
This obligation to maintain secrecy also applies to any external examiner taking part in a test, an exam or an assessment as the activities of external examiners are also subject to the obligation to maintain secrecy as laid down by the Danish Public Administration Act by the Danish Ministerial Order on Examinations in Professionally Oriented Higher Education Programmes.
This obligation to maintain secrecy has the effect that KEA’s employees and external examiners are subject to penalty if they pass on information received in respect of their position. The penalty for unjustified disclosure of information is fixed in Section 152 and Sections 152 c – 152 f of the Danish Criminal Code. The maximum and minimum penalties are financial penalty or imprisonment of until six months.
It is consequently not necessary for KEA’s employees or external examiners to sign any testimonial or statement of confidentiality in connection with the assessment or evaluation of a student’s project. The obligation to maintain secrecy ensures that the content of the projects cannot be disclosed without consent.
Projects stamped ”CONFIDENTIAL” (or ”FORTROLIGT” in Danish) cannot be published or disclosed without the consent of the student and the company.
Projects stamped ”CONFIDENTIAL” (or ”FORTROLIGT” in Danish) shall not be entered in the project library without the consent of the student and the company.
Where a project is stamped ”CONFIDENTIAL” (or ”FORTROLIGT” in Danish) the examiner will ensure that no audience is allowed at the examination.
Glossary
Programme Curriculum: The Curriculum holds all the rules related to the disciplinary content of a programme and all other rules applying to the education in question. You’ll find your programme curriculum on your programme page here at MyKEA.
SDBF: SDBF is short for Skolernes Digitale Blanket Flow (schools' digital blank form flow) As a student, you must use SDBF if, for example, you need to report sick for an exam, apply for special dispensation or apply for extra time for an exam etc. Log on to SDBF with your MitID. We recommend that you use Chrome, Firefox or Edge when logging into SDBF.
Wiseflow: Wiseflow is a system used for exams at KEA. Log on to Wiseflow with your KEA Login via "WAYF".
Before the exam
Here you can read everything that is relevant to know before you go to the exam. You can read about the academic content and the actual design of the exam in your curriculum.
The vast majority of the exams at KEA take place in December/January and May/June with re-exams in July/August and February. The individual programmes may, however, have other or more exam periods.
This will appear from the semester plan, which is provided at the start of the semester. The programme management will decide the exact time. The semester plan may be available on Fronter.

Registration
When starting a semester, you will automatically be enrolled in the tests and exams scheduled for that semester – including the related make-up exams/re-exams.
If you fail an exam or fall ill for the exam, you will need to take a re-exam, which usually takes place a few weeks after the exam. In such cases, you will automatically be enrolled in the re-exam.
Any special requirements to meet in order to participate in an exam will appear from the programme curriculum.

Mandatory activities
Any mandatory activities to fulfil in order to be enrolled in an exam will also appear from the programme curriculum. If you have not fulfilled such activities, you will have used an exam attempt. That will be registered in the study administration system.
You will then automatically be enrolled in the re-exam and you must still fulfil the mandatory activities to participate in the exam.

Number of exam attempts
If a study start test is held at your programme, you have two attempts to pass the exam. You will be disenrolled from your programme if you have not passed your exam after two attempts.
For all other exams, you have three attempts to pass the exam. You will be disenrolled from your programme if you have not passed your exam after the third attempt.

Exemption
KEA may make an exemption from the rules laid down in the programme curriculum if justified by exceptional circumstances. You can apply for that in www.sdbf.dk. Remember to attach documentation.
In case of a dispensation to have a 4th exam attempt you must submit your application as soon as posible after receiving your grade from your third exam attempt - but no later than 5 days from the date in the letter "Consultation regarding having not passed an exam in three attempts".

Special test conditions
- You can apply for special test conditions for exams, such as extended time, if you suffer from a physical or mental functional impairment.
- If your functional impairment is permanent, you only need to forward one application which will be applicable for the duration of your education. If any changes regarding your permanent functional impairment, please notify us via email, eksamen@kea.dk
- You can apply for special test conditions for exams in Danish if Danish is not your mother tongue and it is decided that extending your time will bring you on equal footing with the other participants during an exam.
- The Study Administration decides in the matter.
- Your application must be forwarded via SDBF.DK 5 weeks ahead of the date of your exam.
- In your application, please upload documentation, e.g., a doctor’s note, a dyslexia certificate, a language test etc. validating your health condition or relevant, specific functional impairment or language proficiency.

Withdrawal of your registration for an exam
You can only withdraw your registration for an exam if you are on parental or illness leave, or if other extraordinary conditions prevail.
You must apply for your withdrawal through SDBF, and you must document such extraordinary conditions.

Acute illness in connection with an exam or with delivery of your exam assignment
If, due to acute illness, you are unable to take part in an exam or to hand in your exam assignment, you must IMMEDIATELY, and before 16:00 hrs on the date of the exam/delivery, complete and submit the form "Sygemelding akut/Notification of illness acute" in SDBF. Remember that you must pay for the medical certificate yourself.
Please attach a doctor's note or documentation for your illness. The doctor's note or documentation must be provided to KEA no later than 5 week days form the day of hand in or your oral exam. The doctor's note or documentation must be uploaded in SDBF or sent to eksamen@kea.dk.
NOTE! If you have not reported sick in SDBF within the time limit, the notification will not be accepted and you will have used an exam attempt.
The time of the re-exam will appear in Wiseflow.

Delivery in Wiseflow
From about 14 days before the delivery deadline, you will be enrolled in a flow in Wiseflow. Here you will find information about:
- Date and time of a delivery
- Assignment brief, if any
- Any other information

Exam plans in Wiseflow
Immediately after the delivery deadline, you will receive another flow, or an exam plan will be uploaded in the flow telling you the time of you oral exam. If the exam consists of a written delivery only, simply wait for the assessment. Here you will find information about:
- Date and time of exam
- Room
- Name of examiner - in a few cases, this may be anonymised
- Once your grade has been released, you’ll find it in Wiseflow, possibly under "Archive"
It is your responsibility to keep track of the dates of deliveries and exams that you will be able to find on Wiseflow. Please note that there may be changes to the exam plans published in Wiseflow, so keep yourself updated.

Exam language
The language of an exam will be the same as the language in the teaching of the programme element in question.
However, it is possible to take Danish exams in Swedish or Norwegian, unless the purpose of the exam is to document the student's skills in Danish.

Remember photo ID
For all exams, you must be able to legitimise yourself with photo ID (as a starting point, your student card, but otherwise a driver's license or passport).

During the exam

Exams are public
As a starting point, any oral exam is public – i.e. others can be present at your exam and you can invite guests.
If the exam is individual and examination is done on the basis of a group-made product, other members of the group cannot be present in the room until it is their own turn to be examined.
KEA may restrict public access to the exam, e.g. out of consideration for you as an examinee or concerning assignments with a company subject to confidentiality. The examiner may restrict access to the exam room for space reasons, and exclude individuals from attending the exam if necessary to maintain order.

Illness during exam
If you become ill during the actual exam, you must immediately notify the examiner or exam supervisor, who will pass on the information to KEA Study Administration. If the exam is interrupted, it will not count as an attempt if you fill in and submit the form "Sygemelding akut/notification of illness acute" in SDBF before 16:00 on the exam day.
If you have not registered sick in SDBF within the time limit, the notification will not be accepted and you will have used an exam attempt.
The time of the re-exam will appear in Wiseflow.

Exam cheating, plagiarism and expulsion from the exam
If you cheat at the exam, or if you disrupt the exam, you may be expelled from that exam. Expulsion may also take place after the exam has been held. Expulsion from an exam due to cheating/plagiarism means that any given grade will be annulled and that you will have used an exam attempt.
Cheating includes:
- Wrongful help received at an exam
- Wrongful help given at an exam
- Passing off the work of others as your own or using your own previously assessed work without reference (plagiarism, see below)
- To conceal or mislead about your own efforts or results
- To use aids that are not permitted for the exam in question.

If aggravated or repeated cheating takes place, you may be expelled from your programme for a short or long period of time. In case of expulsion for aggravated cheating, you will receive a written warning that any repetition of the cheating may result in permanent expulsion from the programme.

Plagiarism
Written exam assignments, projects, reports and the like to be submitted in connection with an exam must be prepared by the student himself/herself. It is considered plagiarism if a student passes off the work of someone else as their own or uses their own previously assessed material without any source reference.
In the case of an individual assignment, it will also be considered plagiarism if the assignment features passages of text which have been created jointly by a group of students and they appear identical in several assignments. Plagiarism is categorised as cheating, and the consequences are therefore as described above.
Please note that all deliveries in Wiseflow will undergo a systematic plagiarism check.
Consequences of cheating and plagiarism
In the event of exam cheating, KEA may expel a student from the exam. This means that the exam paper will not be assessed and that the student will have used an exam attempt. KEA may also decide that the student will be expelled for any given short or long period.
On finalised treatment of the case, KEA will issue an opinion that the student will be allowed to comment, within a two-week time limit. The final decision will then be made and notified to the student. The notice will be sent to the student's KEA email address.
Repeated cheating will be considered aggravating circumstances
If a decision of exam cheating has previously been given to a student, any subsequent exam cheating will be considered aggravating circumstances and may result in permanent expulsion.

Use of Artificial intelligence (AI), including ChatGPT or similar programs (Applications)
As a general rule you are allowed to use AI-tools, including Chat GPT or similar Chatbots and programs/applications to solve/answer exam assignments (oral or written exams) unless the opposite is explicitly stated in the programme curriculum or assignment description. Remember to make correct references in your assignments. Not making the correct references will be considered exam cheating, as passing off an assignment (or parts thereof) created by an AI/chatbot as your own work is in violation of the Ministerial Order on Exams.
According to chapter 9, section 34, subsection 2, para 3 of the Ministerial Order on Examinations and Tests in Professional and Vocational Higher Education Programmes: “Cheating occurs e.g. if the student (...) 3) conceals or misleads about own efforts or results, (...)"

Disruptive behaviour
If you exhibit disruptive behaviour at the exam and do not comply with the supervisory requests, you will be expelled from the exam without assessment and will have used an exam attempt.

Mobile phone use
If an exam is held without the use of aids, this also applies to mobile phones.

Audio and image recordings
It is not permitted to make Audio or image recordings during the exam unless they are part of the test.

Use of PCs in written exams
KEA does not make PCs available for written exams. This means that you must bring a PC yourself, as well as an extension cord, which is to be connected to the power capacity in the exam room.
Please note that it is your responsibility that your computer is up to date.

Use of PCs for multiple-choice exams
As for written exams, KEA also does not make PCs available for multiple-choice exams. This means that you must bring a PC yourself, as well as an extension cord, which is to be connected to the power capacity in the exam room.
Please also note that it is your responsibility that Wiseflow is updated with the latest version required. Therefore, it is a good idea to open the flow well in advance to see if there is an update to install. If at the start time you notice that your Wiseflow is not up to date, you will NOT get extra time.
When using FLOWlock, it is especially important that you do NOT have any other programs open besides Wiseflow.

Rules for electronic delivery in Wiseflow for physical written exams
Before the written exam, you will receive a message in your KEA email with a link to the written exam in Wiseflow. If you do not receive this link, you will be able to log in at any time via www.wiseflow.dk. Remember to use WAYF.
When you arrive at the exam room, log on to Wiseflow under the hand-in folder created for the exam in question. Place your exam paper in the way described below. Upload your paper to Wiseflow before the end of the exam.
- Submit the exam assignment as a PDF file.
- Under "Appendix material", you can hand in other file types.
- If you have technical problems with your delivery, contact the examination officer before the hand-in deadline.
- If your assignment has not been delivered during the time when the hand-in folder is open, we will consider it not delivered. In this case, you will have used an exam attempt.

Delivery of assignments, reports, etc. in Wiseflow
- Click on the delivery folder in the room in question in Wiseflow
- In the case of an individual hand-in, press the button, "Upload", and choose the file. Then click “Click here to hand in”
- In the case of a group hand-in, first click the names of yourself and your group members, and then press the button "Click here to hand in on behalf of" and select the file.
- When using the "Adobe InDesign" application, it is important that you make sure that all other programs are shut down.
- It is important to set aside extra time when handing in your assignment, as there may be several steps to go through, such as completing a cover page. Usually, you need a cover for internship reports and final/bachelor projects.

Special rules for written exams
- Do not enter the exam room until the supervisors are present.
- During the exam, stay calm and avoid disturbing the other examinees.
- If you need to leave the room during the exam, you can do so only under supervision.
- When you have finished the exam assignment, do not leave your seat until your delivery has been correctly uploaded in Wiseflow.
- During the last half hour before the end of the exam, you cannot leave the room, even if you have delivered in Wiseflow.
- Do not remove any assignment sets or delivery pages (not even draft paper) from the exam room before the exam has ended.

Grades and grading
KEA uses the 7-step grading scale for the majority of all exams. Once you achieve the grade 02 or more, you have passed the exam and you cannot retake the exam.
Please note that special rules apply to exams with part-exams; they are described in the programme curriculum.
After the exam, you can see your grades in Wiseflow, possibly under "archive".

Oral exam
At an oral exam, you will receive your exam result directly after the exam.
Afterwards, you can find your grade in Wiseflow, possibly under "archive".

Written exam
For a written exam, you will receive the grade when the Study Administration has received and registered the grade from the assessors.
Your grade will be published in Wiseflow, possibly under "archive".

Grades at exams consisting of several part-exams
If the programme curriculum stipulates that an exam consists of several part-exams and you have achieved the grade of 02 or more in the overall assessment, you may only re-take a non-passed part-exam if the programme curriculum or the exam catalogue states that all part-exams must be passed.

Re-exams
If for some reason you do not pass an exam, you will automatically be enrolled in the next exam attempt.
If you were ill at the exam and you documented this in a timely manner, you have not used an exam attempt. You will automatically be enrolled in the next exam.
The exam form may be different at a re-exam. Remember that you must hand in any written work/your assignment again.

Complaint about exams
You can complain about:
- the basis of the examination
- the examination process
- the assessment (grade).
Your complaint must be in writing and justified.
Send your complaint to klage@kea.dk no later than two weeks after the announcement of the assessment (grade).
The decision will be sent in writing and may be:
- An offer for a re-assessment (written exams only)
- An offer to resit the exam or
- A ruling against your appeal
Please note that a re-exam may result in a lower grade.

Diploma
Your Diploma will be sent as Digital Post. You will receive your diploma no later than on your graduation day.
If you are attending an re-exam, we will prepare your diploma and send it to you no later than one week after your re-exam.
If you do not have Digital Post/E-box, please contact us and we can plan how the diploma will be sent to you.
